What we collect

From the contact form we collect the name you give, an email address, an organisation name, optional fields about application type and visit timing, and the message. If you telephone, we keep enough of the conversation to reply. During a mapping visit we may see applicant names on files; we do not copy those names into our retained notes unless you instruct us to use a file number you already employ.

Server logs of this site may record an IP address, browser type, and the page asked for. Cookie behaviour is described on the cookies page.

Why we hold it

We use enquiry details to answer you, to prepare a quote, and to keep a record of what was agreed. Visit notes exist so we can draw an accurate map and defend that drawing if you later ask how a station was described. We do not sell lists of hosts or applicants.

Retention

Unsuccessful enquiries are kept for two years, then deleted from the practice mailbox and paper daybook. Quotes, invoices, and maps for completed work are kept for seven years for accounting and professional record. Scrap notes that contain an applicant name we did not need are destroyed at the end of the visit week.

Your rights

Under the Australian Privacy Principles you may ask what we hold, ask for a correction, and complain to us if you believe we have mishandled information. If you are not satisfied you may contact the Office of the Australian Information Commissioner. We will not charge for a straightforward access request.

International transfers

Our email and the host of this website may store copies outside Australia. We choose providers who contract to protect personal information. Mapping work itself is done in your rooms in Australia; we do not send original files abroad.

Children

This site is written for organisations that handle applications. We do not knowingly collect information from children.

Changes

This notice may change when our rooms or our contractors change. The date that matters is the date you sent the enquiry or hosted the visit.
